Job Description

 

Job Title: Trusteeship Coordinator, Sector Leadership Department Role: Full-Time Position, 1 Year Contract

Direct Supervisor: Manager, Sector Leadership Department

About CEE

The CEE Centre For Young Black Professionals is a charity dedicated to addressing economic and social barriers affecting black youth (18-29 years). We offer programs to improve their careers, education and empowerment (CEE) that are holistic, person-centered and culturally relevant. Based in Toronto, we work to strengthen the social service sector in the city by providing training in areas of responsive programming, trauma-informed care and cultural competence to front-line workers.

The Sector Leadership Trusteeship Coordinator is adaptable, versatile, and skilled in non-profit management, administration and project management to achieve the program focused on its objectives. Reporting to the Sector Leadership Manager, the Trusteeship Coordinator works closely with internal and external stakeholders to ensure that programming is effective and supports the achievement of its strategic objectives. A member of the sector leadership team, the Trusteeship Coordinator works closely with the unit team, managers, funders and Black led and serving organizations to ensure the overall management of the Trusteeship program is met. With the supports of the Finance team, the Trusteeship Coordinator will provide financial administration and oversight supports, and capacity building guidance to B3 grant recipient organizations. The specific duties and responsibilities of this role fall into three main areas:

1.     Program Management:

  • Acting as the main contact on a portfolio of trustee applications and funding agreements with various funders, responsible for internal and external communications, document review, keeping accurate and up to date records, and ensuring timely
  • Communicating with direct managers and other internal units (i.e. Finance, Executive Leadership Team) to provide status updates on files, consult on complex situations that may arise, and report any significant changes in grantee
  • Contributing to ongoing process improvements in Trusteeship Program. This includes development of systems, processes, products (forms, documents, templates, tools), and portfolio to that builds an effective infrastructure for
  • Providing guidance and coaching to applicants and grantees with a view to improving possibility of funding and/or compliance to funder which includes sharing relevant knowledge and capacity building
  • Assist with designing, developing and implementing capacity building training modules for trustee groups, including onboarding meetings, resources, communication tools, and other knowledge dissemination activities to strengthen their organizational
  • Assist in data collection methods, interpretation of data related to B3 trusteeship, and preparing reports as required by funder and CEE
  • Building and maintain effective working relationships with CEE’s program partners, grantees, and
  • Maintain detailed records of program activities and monitor progress and

 

2.     Grant Management:

  • Reviewing trusteeship and grant application summaries, prepared to answer questions, and prepares recommendations for funding in consultation with Manager and Finance
  • Designing, developing, implementing, and coordinating all elements of a granting cycle, including grant guidelines, grant call, review of applications, and announcement of successful
  • Facilitating and supporting the Peer Review process, including reviewing scores and comments, conducting additional research or consulting with applicants to clarify and/or elaborate content
  • Responsible for the overall preparation and administration of LOU/MOU agreements within the assigned portfolio, which includes reviewing and finalizing agreements and obtaining applicable signatures in collaboration with the Finance
  • Reviewing disbursement schedule, eligibility of project invoices, budget reconciliation and content of progress and final reports, based on funding requirements in collaboration with the Finance

 

3.     Other Tasks:

  • Other tasks assigned by CEE’s Leadership

 

 

Experience and Qualifications:

  • Minimum of 3 – 5 years of professional experience in project management/evaluation in non- profit, social services or community development sector
  • Bachelor’s degree in finance, business management, non-profit management or equivalent education, training and experience
  • Strong knowledge and experience of working with diverse Black communities
  • Excellent written and oral communication skills
  • Strong customer service with strong interpersonal, communication, and problem-solving skills to work with people at all levels inside and outside of the organization
  • Detail oriented and strong analytical skills
  • Sound judgment
  • Demonstrated ability to work effectively both independently and as part of a team
  • Excellent interpersonal skills with a high level of professionalism
  • Ability to accomplish projects with little supervision
  • Bilingualism (English/French) is a definite asset
  • Ability to adapt to changing circumstances in a fast-paced
  • Superior time management and organization skills, with ability to manage multiple priorities simultaneously
  • Proficient computer skills in Microsoft Office suite
  • Occasional evenings for capacity building activities (i.e. meetings and learning labs)
  • Criminal Record Check with Vulnerable Sector Screening required
